90‑Day Countdown

Ideally, you’d have a year or more to plan your event. In real life, sometimes you have three months.

The good news: when your venue is a full restaurant and event space like Stone House—with in‑house food, bar, and multiple rooms—you’re not starting from scratch.

Here’s a 90‑day countdown that works for weddings, fundraisers, and corporate events alike.

90–60 Days Out: Lock the Foundations

1. Confirm Spaces & Format

  • Decide which Stone House rooms you’re using (Courtyard, Dining Room, Showroom, Lounge, Cavern, Patio, Penthouse Suite).

  • Clarify ceremony/program location, dinner location, and any after‑party space.

2. Finalize Core Vendors

  • Planner or coordinator (if using one).

  • Photographer / videographer.

  • Band or DJ (who can work well with Stone House’s performance space).

3. Guest List & Invites

  • Finalize your list.

  • Send digital invitations or save‑the‑dates immediately; follow with formal invites if timing allows.

60–30 Days Out: Shape the Experience

4. Menu & Bar

  • Work with the Stone House team to select a seasonal, farm‑driven, seed‑oil‑free menu that fits your event style (plated, buffet, family‑style).

  • Choose featured cocktails and zero‑proof options.

5. Program & Timeline

  • Draft your run‑of‑show: arrival, ceremony/opening, meal, program, dancing, closing.

  • Align timing with kitchen and bar service for a smooth flow.

6. Decor & Rentals

  • Confirm what Stone House provides (tables, chairs, basic serviceware).

  • Source any additional rentals—linens, specialty furniture, or decor that complements stone and wood rather than fighting it.

30–14 Days Out: Confirm the Details

7. Final Headcount & Floorplan

  • Send your latest guest count to the venue.

  • Lock down the seating layout (banquet, cabaret, theater, etc.) for each room.

8. Vendor Logistics

  • Share floorplans, load‑in instructions, and Stone House contact details with all vendors.

  • Confirm arrival times, sound checks, and strike times.

9. Special Touches

  • Choose ceremony readings or speaking order.

  • Decide on any printed materials (menus, programs, signage).

  • Plan welcome bags or notes if guests are traveling.

Final 14 Days: Fine‑Tuning & Personal Prep

10. Final Walkthrough (If Possible)

  • Walk the spaces with your planner or lead vendor, plus a Stone House rep.

  • Practice key transitions: Courtyard → Dining Room → Showroom, or whatever your flow is.

11. Confirm All Counts

  • Guest count, vendor meals, special dietary needs.

  • Bar expectations, including any caps or hosted times.

12. Personal Logistics

  • Pack event‑day essentials.

  • Assign point people for guest questions so you’re not fielding texts all day.

Event Week: Trust the Plan

At this point:

  • Vendors know where to be and when.

  • The Stone House team has your menu, layout, and timing.

  • You’ve made all the big decisions.

Your job is to show up and experience the spaces—stone walls, farm‑driven food, live‑music‑ready rooms—as they transform into your event.

Soft CTA

If you’re working on a three‑month runway (or less), Stone House’s integrated kitchen, bar, and event team can take a lot of the heavy lifting off your plate. Share your date and basic vision, and they’ll help you slot into a realistic 90‑day plan.
